Community Engagement Activity Plan Template

Purpose. This template is used to plan, approve and evaluate a community engagement or public safety awareness activity.
1.When to use this template
A plan must be completed for every engagement activity delivered by or with the service, including school visits, information stalls, community meetings, cultural events and awareness campaigns. The plan must be approved before the activity is advertised or resources are committed. The completed plan is filed with the Community Engagement Register entry.
2.Purpose and audience
State the community safety problem or opportunity the activity addresses and the evidence for it, such as incident data or feedback. Describe the audience, including any language, cultural, age or accessibility needs. State the key messages in plain language.
3.Partners and resources
List the partner organisations and their roles, the members attending, materials, interpreters, venue and equipment. Confirm that any member working with children holds a current working with children check. Record the estimated cost and its approval.
4.Risks and safeguards
Identify risks to participants, members and the service, including safety at the venue, privacy, cultural sensitivity and media. Set the controls for each risk. Record any consultation with liaison officers or Elders.

5.Evaluation
State how success will be measured, such as attendance, feedback, referrals made or follow-ups completed. After the activity, record what happened, what was raised by the community and what follow-ups are assigned. Update the Community Engagement Register within two business days.
